Communication

Internal Communication:
All Logistics staff

Purpose:
To communicate and exchange information on necessary Logistics related operations

External Communication:
Clients, Suppliers and Customers/Visitors

Purpose:
To exchange clear and effective communication with regards to the Logistics operations;

Occupational Health & Safety and Environment

Accountability:
Are accountable for their acts and omissions.

Responsibility:
To follow agreed safe systems of work; to follow training and instructions; and to report accidents, incidents and near misses.

Authority:
To stop work if they think the work is unsafe.

Responsibilities

Key Roles & Responsibilities

• Attend telephone calls, forward information by receiving and distributing communications; collecting and mailing correspondence and copying information
• Operate office machines such as photocopiers and scanners, facsimile machine
• Monitor office stationery, various supplies and maintain minimum levels.
• Sort, and ensure to maintain proper file records, tender submissions as and when required and maintain confidential information.
• Make logistical arrangements, inform the drivers for tender collections, materials dispatch/collection, etc.
• Receive Overtime booking sheet, make data-entry and arrange transport accordingly
• Assist in gate passes preparation as and when required.
• Monitor vehicles maintenance through the responsible team.
• Monitor the tidiness of administration office, client’s offices, washrooms, canteens, etc. and allocate cleaners to proper jobs
• Monitor food distributions of employees in Logistics.
• Assist in various Administrative related works and daily operational activities as and when required
• Attend the reception desk as and when required and arrange refreshments for office meetings and guests
• Follow specified systems, processes and procedures, implemented in the workplace, to ensure compliance with legal, regulatory, and other requirements/standards
• Work safely at all times, protecting the health and safety of everyone in the workplace
• Perform other job-related duties as assigned by the Management

Qualifications

Education & Professional Qualification:
Passed 12th or 13th standard

Professional Experience: 
1-2 year work experience in a closely related position

Geographic Experience: 
N/A

Computer Skills: 
Basic knowledge of MS Office

Language Skills: 
Working Knowledge of English & Hindi
