Key Activities & Competencies – Document Controller (PV Plant Project)
Document Control & Compliance
- Maintain and manage the document control system (PROCORE).
- Ensure compliance with ENGIE, EPC contracts, and MDR standards.
- Set up and enforce document control standards: numbering, versioning, distribution, and archiving.
- Conduct quality checks on formatting, metadata, completeness, and traceability.
- Track and follow up on overdue document reviews and ensure closure of comments.
- Implement document retention schedules per legal and quality policies.
Document Coordination & Tracking
- Coordinate submission, review, and approval workflows for:
- Drawings
- Technical procedures
- RFIs
- Meeting minutes
- Submittals & correspondence
- Track EPC deliverables as per MDR, schedule, and deliverable matrix.
- Maintain status logs, transmittals, and dashboards for management reporting.
Platform Administration (PROCORE)
- Manage PROCORE access, user roles, permissions, and distribution groups.
- Train and support internal and external stakeholders in PROCORE usage.
- Ensure consistent document coding and naming conventions across all submissions.
Milestone & Handover Documentation
- Ensure documentation for key project milestones:
- Design Freeze
- Ready for Energization
- PAC & FAC
- Support final handover:
- As-Built drawings
- O&M manuals
- Commissioning reports
- Vendor certificates
- Test reports
Stakeholder Communication
- Facilitate document exchange with EPC Contractor, Offtaker (EWEC), and Owner’s Engineer.
- Interface with internal departments (legal, engineering, QA/QC) for sensitive documentation.
- Support audits by retrieving documents and maintaining compliance logs.
Site Administration & Logistics
- Maintain office supplies and infrastructure (printers, power, internet).
- Onboard new staff: workspace allocation, coordination of orientation.
- Organize and support site meetings: logistics, catering, and minutes.
Qualifications
- Bachelor’s degree or diploma in Business Administration, Engineering, or related field
- Minimum 5 years of document control experience on EPC or infrastructure projects, preferably in the solar, power, or energy sector.
- Strong knowledge and hands-on experience with document management platforms.
- Familiarity with project lifecycle documentation: technical submittals, quality records, RFIs, and as-built packages.
- Excellent understanding of ISO 9001 documentation control standards.
- Experience in coordination with multi-party stakeholders and following contractual documentation procedures.
- Detail-oriented with excellent organizational and communication skills.
- Fluent in English.
