Responsibilities

  • To provide internal administration support to the SBDCP & CMS Management Team.
  • Assurance of 0 time sheet return at each month for CMS SBDCP.
  • A checking and quality control system to provide timely feedback when discrepancies and/or errors need addressing to ensure unnecessary delays are minimized.
  • Be able to demonstrate the ability to think logically and show flexibility and adaptability in developing new solutions for tasks and internal processes.
  • Possess excellent office administration and support skills, including the use of the Microsoft Office & Excel suite of tools.
  • Have a working knowledge of configuration control principles for recording & maintaining documentation.
  • Be able to demonstrate the ability to plan & prioritize own work and meet the administration requirements.
  • A single point of contact for all queries related to timesheets.
  • Assist senior managers and executives with their daily organizational tasks.
  • Arrange meetings and attend them to take detailed minutes.
  • Review and optimize office policies and procedures, particularly the documentation and the filing system.
  • Prepare spreadsheets, presentations, and statistical and budget reports.
  • knowledge of departmental policies and procedures and the ability to apply them appropriately to daily operations.
  • Performs a variety of administrative support tasks related to the primary mission of the department.
  • Knowledge of administrative procedures, including planning, personnel, data analysis, and report preparation.
  • Gathers information, compiles data, and prepares required reports of department or program activities; prepares annual state reports.
  • Sets up interview schedules and participates in interview panels; sets up and maintains confidential files.
  • Take ownership of your own personal and professional development through your Performance & Development Review (PR and PIP) process.
  • Demonstrate commitment to the company’s Total Performance culture.
  • Undertake all mandated and developmental training as deemed appropriate by the business.
  • Promote and demonstrate a commitment to continuous improvement, positively aiming to eliminate all non-value-added activities.
  • Cooperate with directors/managers to achieve a healthy and safe workplace following the business unit’s Health and Safety Policy.
  • Adhere to security policies and procedures to ensure that company assets within their charge are adequately protected.
  • Manage & use resources both effectively and in such a manner as to minimize costs, and contribute to the achievement of agreed budgets.
  • Maintain personal time management standards.
  • The jobholder for this role would typically hold high school qualifications or have administration and/or project management qualification/skill sets or demonstrate an ability to develop these skills quickly.

Job Requirements:

  • A college degree or diploma in management or a high school degree with at least 5+ years’ experience; additional qualification as a personal assistant or secretary will be a bonus.
  • 3+ years of experience working in a senior administrative, virtual assistant, or executive administrative assistant position.
  • Significant experience with office management and daily operations.
  • Good practical experience with MS Office
  • Excellent knowledge of office equipment, like printers and fax machines.
  • Strong verbal and written communication skills in both Arabic and English.
  • Strong organizational and time-management skills.
